The Alumni Engagement Coordinator will assist the Director of Alumni Relations in developing and implementing creative and successful programs to engage over 75,000 alumni and other key constituencies including retired faculty and parents in order to build affinity and support for the overall Development and Alumni Relations program. Reporting to the Director of Alumni Relations, the position works closely with the Development Special Events team, the Office of Communication and Marketing, alumni, parents, retired faculty, and current faculty and staff throughout campus. The three main areas of focus for this position include: Alumni Event development and implementation, Communications for alumni events and online engagement, and Alumni and student volunteer coordination.
Responsibilities:
• In coordination with the Director, develop and implement a robust and diverse calendar of alumni engagement events that meet the strategic goals of Alumni Relations and the College. Coordinate all aspects of event planning and implementation including securing venues, vendors, and their corresponding contracts. Work closely with Alumni Relations Secretary and the Business Office to ensure proper and accurate paperwork is complete for securing contracts and processing payment.

• Coordinate all the logistics of Alumni Reunion weekend with campus departments including faculty and staff, catering, facilities operations and grounds, and outside vendors.

• Create and implement communications plans for all alumni events. Work closely with the Office of Communications and Marketing, both print and web functions, to ensure event communications are timely, accurate, engaging and true to the College brand. This will often include initiating a full package of print, web and social media communications. Produce basic web copy updates and email communications to be executed through a CRM platform.

• Coordinate the training and use of CVENT event management software with professional, student and volunteer staff to promote events, manage event registration online and onsite, and execute follow up communications through confirmation emails, thank you messaging, and post event surveys.

• Conceptualize and execute initiatives to engage an alumni and student volunteer base both regionally and locally while working closely with the Director and Development Services to record and track activity in our constituent database.

• Conceptualize and implement a student organization that supports the goals and initiatives of the Office of Alumni Relations and the College. Supervise and train all volunteers and student staff assistants hired to support the Office of Alumni Relations.

• Provide oversight of our social media channels and work closely with the campus Social Media Coordinator to create an engaging online community that serves as an extension of our events and activities.

Qualifications

Required:
• Bachelor’s Degree required
• Ability to effectively manage multiple and competing priorities
• Excellent communication skills and ability to engage to engage and collaborate with a diverse community both internal and external to the College
• Must be available to represent the College and Alumni Relations at meetings and events both on campus and off-site where overnight and multi-day travel and hours outside of core hours will be required
• Must be willing and able to carry 20lbs and lift 40lbs on occasion to transport event supplies
• Experience with MSOffice (Word, Excel and PowerPoint)
• Must have a valid driver’s license
Preferred:
• Minimum two years of higher education experience or non-profit experience.
• Small and large scale event planning experience
• Experience supervising and training students and volunteers.
• Experience with constituent relationship database, online communication tools for social media and email, direct mail, and event registration management software
